Position: Wolastoqey Nation in New Brunswick Senior Advisor
Term: One year with the ability to renew.

The Wolastoqey Nation in New Brunswick (WNNB) provides high-quality advice and technical support to New
Brunswick’s six Wolastoqey communities on resource development matters that impact Aboriginal and Treaty Rights.

The goal of the Senior Advisor position is to provide operational and technical leadership to support the
organization’s mission, vision and mandate, and to ensure organizational sustainability. The Senior Advisor will be the
main support for the WNNB Executive in overseeing the day-to-day operations of the organization, including
governance, communications, and capacity building.

    Job Responsibilities:
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Arrange and coordinate meetings and events.
  • Conduct research, collect, and analyze data to prepare reports and documents.

  • In consultation with the Finance Director, assist the WNNB Executive in maintaining the various
    program/project budgets.
  • Prepare and present statistical and budget reports.
  • Record, transcribe and distribute minutes of meetings.
  • Coordinate project-based work.
  • File and retrieve documents and reference materials on a web-based Records Management System and
    paper copies.
  • Manage the Executive’s Calendar.
  • Make travel and accommodation arrangements.
  • Provide strategic advice to the WNNB Executive.
  • Seek out new funding opportunities and develop applications for funding.
  • Attend consultation and team meetings, take minutes, schedule any follow up and track unattended to action
    items.
  • Provide support to Department Leads where needed.
    Additionally, the Senior Advisor will serve as a key support and liaison to the Board of Directors (the six Wolastoqey
    Chiefs) and to the executive management team. In addition to supporting WNNB’s mission and goals they will
    collaborate/communicate with Directors and Board Members for scheduling meetings and consultations. The Senior
    Advisor will be the keeper and point person for all corporate documents for WNNB.
    Additional Responsibilities and Duties
  • prepare and edit correspondence, communications, presentations, and other documents (memos, briefing
    notes) for Board meetings.
  • Finalize/send out and track official letters pertaining to the Board.
  • Organize in-person and virtual Board of Director meetings
    o Send meeting reminders.
    o Organize meeting agendas in a structured way
    o record, transcribe and distribute minutes of and make any edits and changes requested
    o File minutes and meeting documents.
    o Follow up on and track any action items
    o Follow up with Chiefs for document/decision approvals
  • Prepare cheque requisitions (travel, honorarium, meeting space invoices, catering invoices).
  • Work with Finance Director to send out minutes for annual audits
  • Assist the Executive in preparing and conducting orientation for newly appointed Board members.
  • Demonstrate sound judgment, discreetness where appropriate and professional behaviour while maintaining
    confidentiality at all times
